Partnership Guidelines

The partnership between the Monadnock United Way and the member agencies is the cornerstone of the Monadnock United Way's efforts to meet the human service needs of the community. The partnership between the Monadnock United Way and the member agencies goes well beyond the formal activities of requesting and providing funds. It involves a commitment to work together to make the Monadnock United Way, the agencies and the entire social service delivery system the best that it can be. The partnership is based on mutual respect and is maintained through hard work and open communication.
FUNDRAISING PHILOSOPHY
A primary goal of the Monadnock United Way is to maximize the resources and financial support available to agencies so that they can provide needed services in the community. The Monadnock United Way accomplishes this primarily through the annual campaign. The basic philosophy of the Monadnock United Way annual campaign is that the Monadnock United Way makes "one ask" of businesses and individuals in the community on behalf of all of the agencies. Individuals and businesses who are solicited in the annual campaign are told that because of the concept of "one ask for all", they will not be solicited by Monadnock United Way agencies.
Although the Monadnock United Way provides needed funding to many agencies, the Monadnock United Way also recognizes that agencies require a mix of funding sources to meet their financial needs. Therefore, the Monadnock United Way encourages supplemental fundraising that does not conflict with the philosophy of the annual campaign.
FUNDRAISING AND SOLICITATION GUIDELINES
In order to focus the community's efforts on achieving a successful Monadnock United Way campaign, partnership agencies agree not to do any solicitation of any kind in the Monadnock Region during the annual Monadnock United Way campaign which runs from September 1 through November 15.

    As a service to the community during Harvest Festival, Monadnock United Way Partnership Agencies are allowed to act as food vendors for that event. It is important to note, only food can be sold, and all other guidelines remain in effect. It is necessary to notify the Monadnock United Way on an annual basis if your agency will be participating. (This change in the Agreement was approved by the Board on April 11, 1996.)

Following are the guidelines concerning specific types of fundraising and solicitation by Monadnock United Way agencies:
1. Corporate Solicitation

  • Solicitation is not allowed among corporations and businesses that contribute to the Monadnock United Way campaign at any time without approval of the Monadnock United Way Board of Directors.

2. Sales and Special Events

  • The sale of an item over an extended period of time (e.g., flowers, raffles, coupon books, T-shirts) or special fund- raising events scheduled for a specific time (e.g., dances, auctions, yard sales, dinner, anything-a-thons) should be directed at individuals only, not corporations and businesses.
  • Special fundraising events or sale of items are not allowed between September 1 and November 15.
  • Promotional activity surrounding an event or sale (e.g., advertising, ticket sales to an event, flyers, mailer, etc.) is allowed after November 1.

3. Friends Campaign and Membership Drives

  • Target groups should be made up of individuals who have demonstrated an active interest in the agency's work. The Monadnock United Way has received many complaints from individuals who feel they are solicited by agencies with which they do not have an affiliation.
  • The purchase of mailing lists violates the spirit of a Friends concept.
  • Friends Campaigns and membership activities are not allowed between August 15 and December 1.
  • The Monadnock United Way requires a draft copy of the Friends solicitation in advance and will return for change any solicitation letter that does not clearly state that the agency is a recipient of Monadnock United Way funding, and, if the donor is contributing to the Monadnock United Way, to acknowledge that they are already supporting the agency.

4. Capital Fund Drive

  • Requests for capital fund drives of any kind need prior approval of Monadnock United Way Board of Directors.
  • Capital requests are not allowed between August 1 and December 1.

5. Merchandise and Services

  • Requests for items or services to be used either in fundraising (e.g., auction, raffle, food at special events) or in agency's own operations (e.g., printing of brochures) are not to be solicited at any time from corporations and businesses supporting the Monadnock United Way.

6. Advertising

  • Requests to provide funding in return for promotional recognition (e.g., listing in special event programs or display ads) is permissible among corporations and businesses supporting the Monadnock United Way, but is prohibited from September 1 to November 1.
  • Advertising requests must represent legitimate advertising at legitimate performance events and businesses that are approached should be presented with specifics concerning the event.

7. Corporate Sponsorships

  • Requests to organizations to underwrite the cost of programs or fundraising events are not allowed to be solicited from corporations and businesses supporting the Monadnock United Way at any time without approval of the Monadnock United Way Board of Directors.

8. Requests to Community Groups, Governmental Bodies and Foundations

  • Appeals to service clubs, fraternal orders and churches do not require Monadnock United Way approval, but are prohibited between September 1 and November 1.
  • Grant requests to governmental bodies do not require approval and may occur at any time.
  • Requests to foundations not supporting the Monadnock United Way do not require approval and may occur at any time. Direct solicitation of corporate foundations supporting the Monadnock United Way are not allowed without approval of the Monadnock United Way Board of Directors.

ACCOUNTABILITY AND COOPERATION
Agencies agree:

  • To keep complete and regular books of accounts open to inspection by the Board of the Monadnock United Way or its designated representative except where access is prohibited under federal or state Confidentiality Statutes.
  • To file with the Monadnock United Way at the end of each fiscal year and otherwise upon request a copy of an annual statement of receipts and disbursements and to submit to the Monadnock United Way such other reasonable information concerning finances, programs, etc. as the Board may require.
  • To actively cooperate with the Monadnock United Way, other organizations and community groups to promote the coordination of planning and programming efforts so as to better meet the needs of the community, prevent the unnecessary duplication of services, and ensure the delivery of high quality services.

MARKETING AND PROMOTION
In order for the Monadnock United Way to continue to successfully fundraise for Monadnock United Way agencies, agencies need to continually remind the public of their partnership with the Monadnock United Way at every available opportunity.

  • Agencies should highlight their Monadnock United Way affiliation in all press releases, news stories, brochures, flyers, radio PSAs, TV PSAs, letterhead and other creative places.
  • Agencies should display a sign noting their Monadnock United Way affiliation at all operating locations.
  • Agencies are expected to cooperate with the Monadnock United Way in developing and executing its Communications Program.

TIME FRAME
This agreement shall be binding from year to year unless the partnership agency has given written notice to the contrary to the Monadnock United Way at least six (6) months before the opening date of the next financial campaign. Continued Monadnock United Way funding is conditional upon compliance with this agreement.
